Overview
The Reception and Administrative Support Officer provides professional front-desk services and administrative support to ensure smooth operations at Services SETA offices. This role maintains a welcoming environment for visitors, supports internal staff, and assists with project-related functions across multiple locations.
Purpose
To uphold the image of Services SETA through professional reception management, efficient administration, and support of office and project functions in accordance with quality standards and corporate values.

Focus Areas / Key Responsibilities
- Uphold Services SETAβs image through professional behavior and administration of the reception area and office.
- Adhere to corporate values and ethics at all times.
- Welcome visitors and offer refreshments where necessary.
- Provide assistance to walk-in visitors wherever possible.
- Keep visitors informed of waiting times.
- Maintain a clean and tidy reception at all times.
- Report maintenance issues promptly and monitor progress until resolution.
- Attend to the reception area during office hours.
- Perform basic troubleshooting to correct minor problems.
- Attend to incoming calls efficiently to minimize waiting time.
- Route calls to the relevant personnel.
- Keep callers informed while on hold and ensure staff are aware of pending calls.
- Proactively take messages and ensure timely delivery to staff.
- Screen calls to assist with queries or route appropriately.
- Photocopy, scan, file, bind, and distribute documents as requested.
- Provide typing services when required.
- Receive and dispatch courier packages.
- Collate information for reporting purposes.
- Support Services SETA projects, including:
- Scheduling monitoring and evaluation visits
- Scheduling induction visits
- Preparing site visit reports
- Performing other project-related clerical functions
- Support outreach and stakeholder engagements on-site and off-site.
Minimum Requirements / Eligibility
- National Senior Certificate or equivalent (minimum NQF 4).
- National Diploma or equivalent (NQF 6) in Business Administration, Public Administration, Project Management, Human Resources, or a related field.
